We are seeking a friendly, organized, and detail-oriented Office Assistant to join our team at Cisneros Tree Service. As the first point of contact for clients, you will play a key role in providing exceptional customer care and ensuring smooth day-to-day office operations. This position requires excellent communication skills, the ability to multitask effectively, and a proactive approach to support both our clients and internal team members.
JOB RESPONSIBILITIES
Answer and direct incoming phone calls and emails professionally and courteously.
Schedule tree service appointments and maintain an organized calendar for the team.
Greet and assist clients, vendors, and team members who visit the office.
Process client payments, issue invoices, and handle basic bookkeeping tasks.
Maintain accurate client records and update them as necessary.
Assist with preparing estimates, quotes, and work orders for clients.
Make follow-up calls with clients one week after providing them with estimates.
Order office supplies and manage inventory to ensure the office runs efficiently.
Provide administrative support to team members, including data entry and filing.
Handle any other clerical tasks as needed to support the business.
QUALIFICATIONS
High school diploma or equivalent
Exceptional organizational and multitasking skills, with keen attention to detail.
Excellent verbal and written communication skills.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and the ability to quickly learn new software.
Strong interpersonal skills and a customer-focused attitude.
Ability to work effectively in a fast-paced environment and collaborate with team members.
